Import/export & customs: documents and a workflow to avoid delays

If you ship equipment or goods, the bottleneck is documentation and the right workflow. Here’s a checklist and a typical process.

Typical workflow

  1. Classification (HS codes) and permit/restriction check.
  2. Contract / invoice / packing list consistency.
  3. Logistics: carrier, bill of lading/air waybill, insurance.
  4. Customs broker: declarations and submission.
  5. Clearance, storage, delivery to site.

Minimum document checklist

  • Commercial invoice and packing list.
  • Transport documents (B/L, AWB, etc.).
  • Contract/PO, specs, certificates (where required).
  • Importer/consignee details (incl. RIF where applicable).

Common causes of delays

  • Incorrect HS codes or vague item descriptions.
  • Data mismatches between invoice and transport docs.
  • Missing mandatory certificates/permits for the category.
